Document Automation

Documents read, checked and posted to your systems, with people handling only the exceptions.

Why It Matters

Invoices, statements, applications and identity files arrive as PDFs, scans and photographs. Someone reads each one, retypes the data and chases the missing pieces by email.

The work is slow, mistakes reach the ledger, and every rise in volume needs more people. Older text tools read the characters but not the meaning, so the checking stays manual. The usual failures are a model tested on clean samples, a posting step that cannot be reversed, and no record of who approved an exception.

What We Do

  • We read invoices, forms and identity files, whether typed, scanned or photographed, and turn them into fields your systems accept.

  • Rules compare totals, suppliers, orders and records, and send only the doubtful cases to a person.

  • A queue of exceptions with the reason each was held, where staff correct the data and the correction feeds the next release.

  • Approved data is posted through your finance system's interface, with the source document and approver kept on the record.

What Changes for You

  1. Documents are read as they arrive, not when someone has time to retype them.

  2. Rules compare the data with your records and stop what does not add up before it reaches the ledger.

  3. Every posted entry links back to the document, the rule that passed it and the person who approved it.

How the Work Runs

The work starts with one document type and one posting path. Your finance team sets the rules, and the system earns the right to post without review.

  1. Map the Process

We follow one document type from arrival to posting and measure where time and errors occur. You name the fields, the rules and the person who owns each decision.

  2. Collect Real Samples

We gather documents in every layout, language and quality you receive. Your team confirms the fields and the rules that matter, including the cases that must never post automatically.

  3. Build Extraction and Checks

We build the reading, the validation rules and the review screen. Accuracy is measured on documents the system has not seen, and you agree the threshold for automatic posting.

  4. Connect the Systems

We post through the supported interface of your finance or records system. Your team tests the postings in a test copy and confirms how a reversal is handled.

  5. Release and Tune

We release one document type at a time, with people reviewing everything at first. You decide when a document type can post without review.

  6. Add the Next Type

We track accuracy by document type and supplier. You decide when the next type joins the one already posting.

Platforms and Technologies

We work with the finance and document systems you already run. Microsoft and Google Cloud provide the document-reading services, and SAP is the finance system we post into most often. SAP S/4HANA, Oracle Fusion ERP, Microsoft Dynamics 365 Finance and Odoo are the finance systems we connect to. Azure AI Document Intelligence, Amazon Textract, Google Document AI and Tesseract are tools that read text and structure from a scan or photograph. We test each one on your own documents, because a clean sample says little about a folded invoice.

Questions

What buyers ask before documents and postings are automated.

Which documents can you process?

Invoices, statements, applications, identity files and forms, whether typed, scanned or photographed. We test on your own samples in the layouts and languages you receive before we set a threshold.

What happens when the reading is wrong?

Rules check totals, suppliers, orders and records before posting. Anything uncertain is held for a person with the reason shown, and a correction feeds back into the next release.

Is this the same as robotic process automation?

No. Robotic automation repeats clicks on a screen and breaks when a layout changes. We read the document itself and post through your system's interface, so a new layout is a test case, not a rebuild.

Which systems can you post to?

SAP, Oracle, Microsoft Dynamics 365 and Odoo, through their supported interfaces. We agree the entries, references and reversal path with your finance team, and test on a copy before anything live.

Who owns the system?

You own the reading rules, the review screen, the code and any model we tune for you. Commercial service licences stay with their providers, and we list them in the handover.
