Intelligent automation and document AI
Documents read, checked and routed without retyping
Extraction from invoices, statements and forms, with validation rules, human review and posting to your ERP.
Overview
Supplier invoices, bank letters, delivery notes, claims and application forms still arrive as PDFs, scans and emails. Someone reads each one, types it into a system and checks it against another. The work is slow, and errors surface weeks later in a reconciliation.
We automate that work end to end. Documents are captured from email, upload or scanning, classified, and their data extracted with document AI services and language models. Business rules then check the result against your ERP and master data: does the supplier exist, does the invoice match the purchase order and the goods received, is the total right.
Anything the system is unsure about goes to a review screen where a person confirms or corrects it, and those corrections improve the next run. Approved data is posted to your ERP or workflow, and every step is logged so you can show auditors who approved what, and when.
What we deliver
Process map and business case
The documents, volumes, steps and systems involved today, and where automation removes the most manual work.
Document capture
Intake from mailboxes, upload portals, scanners and integrations, with duplicates detected on arrival.
Classification and extraction
Document types recognised and their fields and line items extracted, including from scans and photos.
Validation rules
Checks against your ERP and master data, such as supplier, purchase order, goods receipt, tax and totals.
Human review screen
A focused screen showing the document beside the extracted data, with uncertain fields highlighted for a person to confirm.
ERP posting
Approved data posted to your ERP or workflow through its supported interfaces, with errors returned to the queue.
Audit trail
A record of each document, what was extracted, what was changed by whom and when it was posted.
Throughput and accuracy reporting
Dashboards showing volumes, automatic pass rate, review time and the fields that most often need correction.
How we work
- 01
Map the process
We follow documents through your team today and agree which types and steps to automate first.
- 02
Test on real samples
We run a representative set of your documents through the extraction and measure field-level accuracy.
- 03
Build rules, review and posting
We build validation against your systems, the review screen and the posting to your ERP.
- 04
Pilot with your team
We run alongside the manual process with one team, compare results and tune the rules and thresholds.
- 05
Scale and improve
We add document types, suppliers and teams, and use review corrections to keep improving accuracy.

Questions and answers
Which documents can you automate?
Most structured and semi-structured business documents: supplier invoices, credit notes, receipts, bank statements and advices, purchase orders, delivery notes, customs and shipping documents, claims, application forms and identity documents. Handwriting, poor scans and unusual layouts lower accuracy, which is why we measure on your own samples before agreeing the scope.
Link to this questionWhat if the extraction is wrong?
The system scores its confidence for each field. Fields below the threshold you set, and documents that fail a business rule, go to a person for review rather than being posted. Validation against your ERP catches many errors automatically, such as a total that does not match the purchase order. Corrections are recorded and used to improve later runs.
Link to this questionIs this the same as robotic process automation?
No. Robotic process automation copies clicks on a screen and breaks when the screen changes. We read the document with document AI, check it with business rules and post through the ERP’s supported interfaces. Where a system has no interface at all, screen automation can be a last resort, and we say so when we use it.
Link to this questionWhich ERP systems can you post to?
We post to SAP S/4HANA, Oracle NetSuite, Microsoft Dynamics 365, Odoo and Sage, and to custom and workflow systems, through their APIs, import services or integration platforms. Posting follows the same approval rules your team uses today. Naming a product here does not mean a partnership with its vendor.
Link to this questionHow are our documents and data protected?
Documents are stored encrypted in an environment you approve, processed by services whose terms exclude training on your data, and kept only as long as your retention rules allow. Access to the review screen is role-based, personal data is masked where it is not needed, and every view and change is logged.
Link to this questionWhat drives the cost?
The number of document types and layouts, the quality of the scans, how many validation rules and systems are involved, and the volume processed. Running cost depends on volumes and the extraction services used. We estimate after testing a sample of your documents, and we show the expected share of documents that will still need a person.
Link to this questionHow quickly can we start saving time?
The first document type, usually the highest-volume one, can go into a pilot before the others are built. The time to a pilot depends on access to sample documents and to the ERP interfaces, and on how many rules the process needs. We plan document types in order of value after mapping the process.
